Thankful Thursday: September 30, 2010

We are so very THANKFUL for such a fantastic month of Birthday FUN! We'll soon be posting some totals for you, hopefully this weekend - we can't wait to see what all this effort has generated! At the very least we hope you've been inspired! (And the birthday fun IS continuing - see the challenge hosted by MelJens that went live this morning, and eclectic Paperie is having fun on their Flickr group through the weekend - PRIZES!)

Tips for making cards with kids

We're getting so many groups that are having kids help out – that's awesome! It's so great to see children stepping up to do something wonderful for our heroes!

Here are a few tips and ideas for you:

Supervise - and make AnyHero mail
It's not often that children make cards appropriate for our heroes to send home. While we may ooh and aah over their art to put on our refrigerators - remember, that's what our heroes would also like to do. Post it on their version of a refrigerator -  not necessarily write home on it. Often our shippers turn kids cards into AnyHero mail, so having the kids write on their own art would be even better!

While children have a lot of desire, they often don't have the skills to put together a card that will stay assembled on the long round trip and heavy handling they'll receive. A card made by a child that is crooked, falling apart, made with construction paper, with handwritten strange sentiments can be cute, but is not what our heroes are looking for when they write home to their wives and mothers. Kids art, however, is a beautiful thing to display in their living quarters - that makes a lot of heroes SMILE!

Supplies
Children's craft supplies are fine for AnyHero cards - foamies, stickers, paste and gluesticks, as well as thin papers and construction paper. Those work very poorly for cards that will make the round trip home - so these should be used only on AnyHero cards.  And still, no glitter for these cards either.

Coloring pages
Check out our coloring pages for kids - these are a great way to turn kids loose with crayons, markers, stickers, and their own creativity!

Kits for kids
If your group of children - a classroom, scout troop, or your family - wants to make cards that our heroes can actually use to write home on, we ask that you carefully guide them by preparing ahead of time for what they'll create. Determine the childrens' abilities before deciding what to make with them - there are ways kids can do this, with your adult assistance!
  1. Older children: Some kids of an older age can sometimes assemble a card kit - with the papers going on straight. Have papers pre-cut for them, sample cards to follow, and allow them to color the image. Explain to them that following the pattern is important - turning children loose creatively may be good, but it can often make a good card take a bad turn! Close supervision is often required.  
  2. Younger children: Smaller kids might not be able to assemble a card from a kit (they often don't 'get' following instructions) but can color the image on an already-assembled card. Youthful coloring - outside the lines, etc - is just fine; have the child sign the back of the card as well, to give it that child-authenticity!
  3. Very young children: Most really little ones are GREAT at AnyHero cards; but we've also seen them produce some great little paper punch people! With a design this simple, having smooshes of glue, fingerprints, and poorly punched circles can be part of the charm of the card. Plus, they love Elmo! See sample below.
  4. Any age of child: We've received some very sweet cards pairing the drawings of children with the clean presentation of an experienced crafter! All you have to do is have the child draw or do their sticker-art on a card front, then trim it slightly so the adult can add a cardstock layer to the child's art. These layers "frame" the art and leave it very childlike, while also creating a nice card that a hero might be able to use! See sample below.
NOTE: If children's cards are to be used to write home on, they should still use good cardstock, NOT construction paper; no foamies, and no handwritten sentiments (except included in their art for #4). If we want our heroes to select them to write home on, they need to look complete and finished, or they get left behind in the bottom of the box.

Sentiments about sentiments!

One of the questions that is asked most often (aside from "Where do I send my cards?" Answer: The Mailroom!) is:
Q: Do I put a sentiment on the outside? Inside? Both? Neither?
Answer: Yes!
We get a selection of cards with each of these options, and it's wonderful to have such a range in each of our boxes. That way a hero with a lot to say can choose a blank card, or someone with just a quick moment might choose a card with a stamped poem inside. Make sure there is enough room inside to write, though; if you put a large sentiment on a card liner in a dark card, line the other half too so our hero can jot a note if desired.


 Q: Can I handwrite my sentiments?

A: No.
We've heard from a few spouses that there was a second of shock when they opened a letter from their husband, only to see another woman's handwriting on or in the card. While they eventually figured out what OWH is, we do not wish to give ANY spouse even a second's pause to wonder about her husband's faithfulness! So please, if you do not have an appropriate sentiment stamp, feel free to leave it blank. (Blank cards are actually the most versatile ones we send - so they're GREAT!)

Q: Can I print sentiments from my computer?
A: Yes.
However, think about what kind of font appropriately expresses the sentiment, however. We see a number of cards with odd combinations. There's a reason stamp designers are stamp designers: they know what makes a sentiment stamp "work" correctly, and they know the typography rules that make it look natural. If you want to print a poem, please be sure you have permission to use it on a card, and give it proper credit; copying a Hallmark poem is not appropriate.

Q: Are there sentiments that are inappropriate?
A: Unfortunately yes!
Please keep it 'clean' - no sexual innuendo, no alcohol-related themes; these are things that should be far from our heroes' minds while deployed, and we do not want to call them to the forefront of their thoughts. We also do not need "thank you for your service" cards without notes in them - our heroes would not use those, but a thankyou note inside one is perfectly appropriate for an AnyHero card.

While we're here - there are also themes that are not acceptable: we do NOT need welcome home cards, baby announcements, party invitations, retirement cards, Martin Luther King Day cards, etc. The more general themes are more use-able, and blank cards can be used for extraneous events/purposes by our heroes. Please stick to our preferrred list of themes: thinking of you/hello, love you, miss you, birthday, thank you, and major holidays.

On respecting copyrights

First, to clarify, we don't have a legal issue right now. We don't want to scare anyone!

However, an email from a family member who received a card from their hero has raised a little concern. They recognized a photo used on the card they were sent - and they knew the photographer. The person was not unhappy, but it got us thinking....that is possibly a copyright violation!

As artists, we all understand the value of what we create. We wouldn't want someone taking our work and using it elsewhere, and claiming it's theirs. So we also want to be certain our cards respect the rights of others as well, so we're asking that you make certain you have proper permission to use someone's work of art.

This guideline covers:
  • photography
  • illustration
  • other 'repurposed' things - like using storebought cards to create new cards.
  • licensed products that are *not* intended for crafting (purchasing a Mickey Mouse cricut cartridge = fine; cutting up your program from your Disney vacation and using it on a card = not good.)
While there are instances when this can be okay (and we're not lawyers to know what they are!), our recommendation is to NOT use these things if you do not have the express written permission of the creator. Be aware that just because something is on a blog to be shared, it doesn't mean you can download and print it to use - make sure it's been given by the creator, not just shared by a blogger.

Many of you, we know, will be saddened by this - you love to repurpose things and recycle old cards. But please don't do that for OWH cards. Our name goes on the back of these, and therefore we'll be responsible if a photographer decides they didn't want their picture on a card, or if Hallmark gets mad if someone sees a repurposed card front with our name, not their crown. We'd rather not risk that.

Some of you may know when it is and isn't okay to use/repurpose something. While we're happy to have your feedback (feel free to leave comments below!), we ask that you respect our desire to stay far far away from any hint of copyright violation. Our OWH family is SO creative, we have many other ways to make cards and create new things without using the work of another artist, and we feel it's reasonable to ask that our cards stay totally on the legal side.

Thankful Thursday: September 23, 2010

Well, this week saw our shippers processing a record amount of mail in just one week: 26,274 cards! Yes 26,274!! The avalanche has truly begun! Many many thanks to all who are stamping the backs of their cards, and learning "the tuck" so well - you're making our job SO much more manageable.

We'll repeat this announcement about the Thankful Thursday report for those who missed last week's report and request:
  • This list will be just the names and hometowns, instead of including our normal comments. That all takes up a ton of time, and when we've got 40 boxes in a pile in front of us, and 40 reports to write, anything we can do to shave a little time off so we can spend it sorting and packing is a huge help!
  • We're trying to keep up with emailing you to let you know your cards arrived, but sometimes we're not able to get to it right away. Sometimes we miss a few when there are this many! Please be patient, and check in on Thursdays to see what's been sent in before emailing your shipper with an urgent request to confirm that they arrived. Emails that come in asking for info that will be here on the blog takes away from the hours we need to take care of the mail :)
  • On some days, our shippers are resorting to sending a 'group' email to everyone sending in cards that day - answering a few questions for those asking things, but bccing the whole group of cardmakers on one email. It saves time, and also gets word to you that your cards arrived, and helps get out answers as quick as we can.
And one additional plea - if you don't get an email when you think you should have, please don't send emails and facebook messages about it til after the following Thankful Thursday report is out. We get tons of email every day, and if we can cut down on a little of that with just a little patience to wait til Thursday, we can keep up better with things like sorting all that mail. Thanks!

Great reminders

Thanks to everyone who's been sending in holiday and other themed cards lately, you're awesome! As you can see by the photo, we get some serious volume - which means we're having less and less time to deal with the normal hospital and other issues.

We've noticed a few things we'd really like your help with:
  1. Please avoid using children's craft supplies for cards. They don't hold up to the rigors ahead of them. This includes construction paper, foamies, ittybitty stickers, and other childrens' craft supplies - they are not made to last. Our heroes have told us these don't get used - remember, it's adults picking out cards to send to kids, not kids choosing a card because of its foamies.
     *These supplies are FINE for AnyHero mail from kids though - our heroes don't mind a bit if things fall off if it's got a note in crayon on it!
  2. Make them to last. Remember that our cards are treasures to our heroes' families, and we want them to be around for years to come; and if an OWH card happens to be their final communication with home, we really would like it to be a family heirloom. Use good strong adhesive - and enough of it! :)
  3. If you don't have a sentiment that goes with your card, please don't feel the need to handwrite sentiments. We're getting a lot of these, and blank is really preferable unless it's fine calligraphy - a family member expects their own hero's handwriting inside the envelope, not yours. So leave your cards blank if you don't have a matching sentiment, and -
    a) it'll save you extra effort,
    b) your cards will come out looking cleaner, and
    c) blank cards will also be more versatile for our heroes. 
  4. If you're sending more than 20 of a design (and that includes the same design/papers with a switch of embellishment), we really really really need you to be sending them in weeks earlier. We're getting boxes right now with tons of the same card, and we're down to the last boxes of halloween cards going out - so we have limited ability to spread them out. A lot of these will have to be stored til next year, and we'd prefer not to have to figure out storage for them. OWH has no warehouse, only our shippers' spare bedrooms!
  5. Please clearly mark/flag your holiday cards. When it gets crazy we may have to just grab the holiday ones out of each box and get busy packing -- but we're finding some that aren't sorted, or halloween cards are hidden underneath the others. We don't want any unnecessary stragglers left behind when the Great Pumpkin is gone! :)
  6. When crafting with kids, please have them write notes inside their cards. Some young folks can make a great card, and with kits they can be more capable; but if you're turning children loose with markers and stickers, please consider AnyHero mail. We're getting more and more "sticker sneeze" cards all the time (cards with just stickers all over), cards that are cut/folded all kinds of crooked, cards that don't fit into any envelope - and those aren't ones our heroes tell us they would like to write home on. But kids' crazy art is GREAT to decorate their barracks! 
  7. Please be sure to include a count on your packing slip. We're getting a lot of blank ones - if you don't have time to count them, imagine how hard it is for us to take that time.

Thankful Thursday: September 16, 2010

Important announcement: 
As you'll see by the length of today's post, we're getting a lot of cards sent in! While that's awesome, we'd like to ask you to give your shippers a little grace; here are two things we'll be instituting throughout the rest of the holiday season:

  • Starting next week, this list will be just the names and hometowns, instead of including our normal comments. That all takes up a ton of time, and when we've got 40 boxes in a pile in front of us, and 40 reports to write, anything we can do to shave a little time off so we can spend it sorting and packing is a huge help!
  • We're trying to keep up with emailing you to let you know your cards arrived, but sometimes we're not able to get to it right away. Sometimes we miss a few when there are this many! Please be patient, and check in on Thursdays to see what's been sent in before emailing your shipper with an urgent request to confirm that they arrived. Emails that come in asking for info that will be here on the blog takes away from the hours we need to take care of the mail :)
  • On some days, our shippers are resorting to sending a 'group' email to everyone sending in cards that day - answering a few questions for those asking things, but bccing the whole group of cardmakers on one email. It saves time, and also gets word to you that your cards arrived, and helps get out answers as quick as we can.
Thank you all SO much for your patience and grace for us!

Now...the report for this week! 18,295 cards came in - 190 packages! -  it's been just a little crazy at our shippers' houses! The midwest has really pulled its weight this week with nearly half the total quantity....please be extra nice to Kris, she's working double OT to keep up!

Special Request for a Special Unit: Mail!

Cardmakers....we have some sad news for you, and yet an opportunity that we can't pass up!

Captain Dale Goetz, Chaplain, was killed in action just weeks ago, August 30, 2010, in Afghanistan. He is the first Chaplain to die in combat since the Vietnam War - almost exactly 40 years ago. Chaplain Goetz leaves behind a wife and three boys, ages 10, 8, and 13 months.

The Chaplain and his unit had not even been in-country for a month when he and four other Soldiers were lost when their Humvee was hit by an IED. In all, this unit lost 10 Soldiers in their first month - and are dealing with deployment without the one whose job it is to keep up morale: their Chaplain.

OWH is taking on Chaplain Goetz's unit to receive cards, and a box is going out to his Chaplain's Assistant immediately - packed with the best of the best for them!


Ways YOU can help:

  1. AnyHero mail. We'd love to shower them with mail from home after all they've been through in such a short time. If you'd like to send a note of encouragement, please send it to our Federal Way location - please do not mention the tragic loss, they need uplifting messages and not reminders of their unit's angst. Mark your letters "GOETZ" on the outside envelope or with a stickynote and we'll make sure that card or letter makes it into one of the boxes upcoming for that unit.

    Cards will be sent in each of their boxes for months to come, so please continue sending mail. All our shippers need more letters, but the Washington address will be the one taking on Goetz's unit.
  2. Make a donation. The Goetz family has set up a memorial fund. Dale often purchased materials with his own money in order to have up-to-date, relevant information for his soldiers.  This fund will allow chaplains to access money without having to dig into their own wallets.

  3. Make more cards! OWH is able to support units like this because of wonderful, generous crafters like you. Mailroom Monday: September 13, 2010

This week 5,440 cards were mailed out - at a cost of $200.00! That's just the ones mailed; each shipper now has growing piles of boxes with thousands of cards ready for Thanksgiving and Christmas, thanks to all of you who have mailed them in nice and early! Your ongoing fundraising efforts will be helping to get these giant piles of mail out to our heroes - keep up the great work!

With the close of Halloween shipping coming, it's really important for you to let your shipper know if there are Halloween cards coming between now and Sept 20th - so we can plan what boxes to hold back to tuck yours in. Thanks for your help!

Happy Birthday OWH!

It's finally here...the day we've been working toward! How exciting to have another year under our belt...or is that under our craft apron?

You may be wondering how old OWH is. And that's a bit of a complicated answer. Here are a few dates that will explain....
  • April 2007, first box mailed to a Soldier in Baghdad. The project was organized only via message board, blog, and email.
  • December 2007, launched first website, http://cardsforheroes.org
  • Sept 1 2008, initial directors designated, applied for state registration 
  • Sept 12, 2008, approved by WA state as a nonprofit corporation!
  • Sept 12, 2009, designated a 501(c)(3) by the Internal Revenue Service! Effective date of tax exempt status retroactive to Sept 12, 2008. Name change and new website launched, http://operationwritehome.org
  • Oct 27, 2009, name change to Operation Write Home is official at state and IRS!
So it's Sept 12, 2008 that is our actual date of birth...which makes us TWO! Happy 2nd birthday, OWH family!!!

Our shippers are busily packing up holiday cards ahead of the coming shipping time, and we are so grateful to everyone who's gotten them in to us already! Oliver the cat is bravely watching over the ready boxes; let's hope they don't come tumbling down on him! The left three stacks are Christmas cards - just waiting for 20 hero letters to put in each one, then they will be totally ready to roll!

We're currently shipping Halloween cards, along with a mix, in each box; as we get closer to the deadline (Sept 20), you may want to consider making pumpkin cards with "thinking of you" on them if you have an inkling you may not get them to the shipper on time. General pumpkin-y cards can be sent past our Halloween dates since our heroes can use them through October and November.

OWH needs Deputies.

Yes, Deputies. Shipping Deputies! We have a lot of you asking to become a shipper; we aren't adding anyone at this time, so we'd like to deputize you instead! See the pile of boxes from Dixie's counter? That's one day's mail! Can you imagine how long it would take to stamp and tuck that many cards if they all arrived needing TLC? A few quotes we've heard from cardmakers:

  • "I put a label with my name on it, but am letting you do the OWH stamp." (Why not just add Operation Write Home on the label when you print it?)
  • "I'm out of time, so I'm just sending in my cards not stamped on the back." (Save them til you get the time - you have more time available than our shippers do right now. Remember, we're all volunteers too - day-jobs keep us from being able to stamp your cards for you!)
  • "Some of my cards are stamped on the back, I just didn't get to them all." (Feel free to hang onto your package til you get time to finish stamping them all.)
  • "My friends gave me cards to send in, some are really bad, and others are falling apart. I'm sending them to you for your hospital." (Our shippers need to focus on sorting and shipping; much of the repair work will be waiting til AFTER the holidays. Please have a hospital party and shower some love on the patients before airlifting them to us!)

Be a Deputy and make your shipper incredibly happy. Stamp, tuck (see below), and sort by type. Be sure your envelopes are actually A2s - not the larger 'invitation' envelopes that are bigger. Secure loose embellishments, line dark cards, keep glitter cards to send to  your own family, and remove plastic sleeves. These are all duties that will have to be performed by our three shippers if you don't do it for them—and with piles of boxes like these, all the help you can give is much appreciated!

Some of our new folks are unaware of "the Tuck" - a lot of our cards are coming in with the entire card inside the envelope, or the card simply stuck under the flap. The back of the card goes inside the envie, and the flap folds back. (Cards using a "tent" shaped fold go all the way inside the envelope.) This graphic may help explain:
